JOB DETAILS

The Executive, Events & Partnerships plays a key role in shaping, planning, coordinating and delivering high‑quality national and international events and experiences that strengthen Ibec’s brand, member value and stakeholder engagement. Operating within the Events & Partnerships team, the role contributes to smooth event delivery by balancing seamless production management with high-quality delegate experiences. The position is responsible for disciplined logistics and scheduling and effective coordination across teams to deliver high-impact event marketing and communications throughout the event lifecycle. 
 
The role blends operational delivery, coordination, content support and insight‑gathering. It strengthens the organisation’s capacity to deliver well‑planned, audience‑focused and professionally executed events that reflect Ibec’s enterprise positioning, strategic priorities and engagement ambitions.
 
The role also contributes to and supports Ibec’s partnership and sponsorship activity. Reporting to the Senior Executive, Events & Partnerships, the role helps secure and manage partner relationships, ensure sponsorship commitments are fulfilled, and support high‑quality activation across programmes and events. It plays an important operational role in organising partner deliverables, maintaining documentation, and ensuring partnership value is delivered clearly, consistently and on time.

ABOUT THE ROLE

Event Delivery 
  • Facilitate and where required lead the day‑to‑day delivery of in‑person and virtual events across the organisation
  • Facilitate and where required manage on‑site and online event delivery, including room setup, registration, staging, technology support and attendee flow
  • Ensure event environments, materials and touchpoints reflect Ibec’s brand and narrative direction
  • Contribute to and where required manage real‑time event coordination and operational execution during live delivery
  • Contribute to and where required manage logistics including venues, supplier arrangements, catering, AV/tech requirements and timelines
  • Maintain structured schedules, timelines, trackers and planning documents to support smooth delivery
  • Manage attendee lists, registrations, confirmations and communications
  • Prepare event briefs, checklists and background packs for internal teams and contributors
  • Facilitate and where required lead procurement coordination and supplier communication
Event Technology
  • Map registration journeys and prepare these paths in Cvent on select events
  • Work with the digital team where appropriate to develop event applications for select events ensuring they are on brand and fully deliver on sponsor and partners requirements
  • Work with the digital team where appropriate to set up lead capture Cvent functionality for sponsors and exhibitors
  • Work with the digital team where appropriate to prepare and set up ‘On Arrival’ software for onsite check-in and badge print
  • Work with the Digital team on the evolution of the Cvent and event related technologies
Experience Design 
  • Contribute to audience‑centred event experiences including concept development and event design
  • Prepare visual and experiential materials in partnership with Brand & Expression (e.g., signage, backdrops, collateral)
  • Play an active role in the mapping delegate personas and end-to-end journeys, contributing to the design of high-impact touchpoints and engagement elements that elevate the overall event experience 
  • Ensure all materials and environments are aligned with Ibec’s strategic themes and brand expression
Campaign, Commercial & Member Support
  • Promote events through email, digital and social channels in coordination with the Marketing team
  • Support the preparation of event‑related messaging and content blocks
  • Coordinate materials supporting membership value, commercial offerings and sector initiatives delivered through events
  • Ensure event communications are accurate, timely and aligned with organisational priorities
Content & Speaker Preparation
  • Prepare briefing materials, agendas, scripts, slide decks and supporting documents for speakers and facilitators
  • Coordinate content collection from internal teams and external contributors
  • Ensure content is accurate, high‑quality and aligned with Ibec’s positioning and messaging
  • Support presentation formatting, editing, version control and event‑day content management
Stakeholder, Member & Audience Engagement
  • Facilitate and where required lead engagement with speakers, members, partners and stakeholders ahead of events
  • Manage attendee communications including reminders, event instructions and follow‑ups
  • Capture feedback and engagement insights to inform future event planning
  • Build strong internal relationships to support effective coordination and communication flow
Reporting, Evaluation & Continuous Improvement
  • Facilitate and where required lead post‑event evaluation including attendance metrics, engagement insights and satisfaction feedback
  • Prepare concise post‑event summaries, debrief documentation and improvement recommendations
  • Maintain event logs, trackers, shared folders and planning tools
  • Contribute to process improvements and operational refinements within the Events & Partnerships capability
Partnership Coordination 
  • Support the coordination of partnership and sponsorship activity across events, programmes and organisational initiatives
  • Maintain partnership trackers, timelines, deliverables lists and activation plans
  • Ensure partnership deliverables are fulfilled accurately, on time and to the expected standard
Sponsorship Activation Support
  • Facilitate and where required lead sponsorship activation 
  • Prepare partner‑related materials including briefs, summaries and other required documentation
  • Coordinate with Marketing, Brand, Digital, Events and External Affairs teams to ensure cohesive delivery 
  • Support logistics relating to partner engagement at forums, conferences and flagship events
Partner Relationship Support
  • Maintain positive and proactive relationships with partners and sponsors
  • Prepare partner communications, including follow‑ups, updates and information requests
  • Capture emerging partner needs, feedback and opportunities to inform ongoing relationship development
  • Prepare notes, summaries and engagement documentation to support the Senior Executive, Events & Partnerships
Operational Excellence & Documentation
  • Maintain organised partnership folders, shared resources, documentation and version tracking
  • Support workflow management, approvals, scheduling and coordination across teams
  • Ensure records, deliverables and communications are accurate, up‑to‑date and accessible
  • Assist with preparation of internal updates, trackers, logs and partner engagement reports
CrossTeam Coordination
  • Engage across the organisation where appropriate to ensure delivery and communication of partnership commitments
  • Build strong internal relationships to support efficient, well‑informed partnership activity
  • Support alignment between partnership activation and broader organisational visibility aims
Insight & Continuous Improvement
  • Capture insights from partner interactions and partnership activations to inform improvements
  • Identify enhancements to workflows, templates and partnership processes
  • Support post‑event and post‑activation reviews, providing notes and feedback

ABOUT YOU

Qualifications
  • High academic achievement in a relevant discipline such as business, marketing, communications, event management or a related field
  • Additional postgraduate qualifications in business, marketing, sponsorship management or communications are an advantage 
  • Additional postgraduate qualifications in events, project management or communications are an advantage
  • Ideally 3-5 years’ professional experience in an B2B events, coordination, operations or stakeholder‑engagement role
  • Ideally 3-5years’ professional experience in a partnerships, sponsorship, events, marketing or coordination‑focused role
  • Experience supporting partnership or sponsorship activity, including delivery of agreed commitments and stakeholder coordination
  • Experience supporting the planning and delivery of in‑person and/or virtual events, including logistics and event communications
  • Demonstrated ability to contribute to structured, well‑organised and relationship‑focused operational work
 
Key Skills
  •  Strong event coordination and delivery skills, including support for logistics, scheduling, on‑site and virtual event execution
  • Ability to manage event administration such as attendee lists, registrations, confirmations, communications and follow‑ups
  • Experience preparing event documentation, including briefs, agendas, checklists, speaker packs and background materials
  • Good organisational skills, with the ability to maintain timelines, trackers, planning documents, shared folders and version control
  • Ability to support content and speaker preparation, ensuring accuracy, clarity and alignment with organisational messaging
  • Strong coordination skills, with experience working across internal teams and external suppliers to support smooth delivery
